Event Refund & Withdrawal Policy

1. General Principle Once an entry has been submitted and accepted, no refunds will be issued unless the competitor provides either:

  • a veterinary certificate (for horse-related withdrawals), or

  • a medical certificate (for rider-related withdrawals).

Certificates must clearly state that the horse or rider is unfit to compete on the scheduled event date.

2. Submission Requirements

  • Certificates must be supplied within 7 days of the event date unless otherwise stated in the event schedule.

  • Documentation must be issued by a qualified and recognised professional (e.g., registered veterinarian, GP, physiotherapist, or specialist).

3. Special Circumstances The Management Committee may consider refunds in exceptional circumstances not covered by the above criteria. Examples may include:

  • Significant personal emergencies

  • Natural disasters or major incidents

  • Errors attributable to the organising body

All requests for special consideration must be submitted in writing to the Secretary and will be assessed on a case‑by‑case basis. The Committee’s decision is final.

4. Non‑Refundable Items Unless approved under special circumstances, the following remain non‑refundable:

  • Entry fees

  • Ground fees

  • Camping or stabling fees

  • Administration charges

5. Event Cancellation If the event is cancelled by the club, refunds or credits will be issued in accordance with the club’s Event Cancellation Policy.
